As industry innovators, we aspire to lead a new era of design that celebrates authenticity, fosters collaboration, and emphasizes the profound impact of design on holistic health and wellness. As such, we are launching two new initiatives, D|B Collective (a curated, collaborative design showroom selectively open to the trade) and D|B Furniture (a new line that harmonizes stunning design and sustainability).
POSITION OVERVIEW
We are seeking a highly organized, proactive, and dynamic Executive and Interior Design Assistant to support our executive and design teams. This hybrid role will offer a combination of administrative, operational, and creative responsibilities, assisting with the smooth operation of design projects and providing direct support to the CEO, COO & Design Team members. The ideal candidate will have a passion for interior design, strong administrative skills, and an ability to work in a fast-paced, high end client-focused environment.
KEY RESPONSIBILITIES
Executive Support:
Provide administrative support to CEO & COO, including drafting and editing correspondence, taking notes during meetings, and preparing presentations or reports.
Assist with client communications, responding to inquiries, scheduling client meetings, and following up on action items.
Manage calendars, including scheduling meetings, appointments and events.
Coordinate travel arrangements, accommodations, and itineraries for business trips.
Help maintain client and project files, ensuring all information is up-to-date and easily accessible.
Oversee event planning, including invitations, marketing, logistics, catering and decor.
Interior Design Support:
Assist the design team with project coordination and execution.
Assist in preparation of design presentations and mood boards.
Oversee organization of product and material specifications, including oversight of project management system, development of spreadsheets and all project-related document management..
Create and maintain project timelines and ensure all deliverables are met.
Assist in site visits, taking notes on design needs, project progress, and client feedback.
Organize and maintain design libraries, samples, and catalogs.
Coordinate with vendors, fabricators, contractors, and suppliers to ensure smooth project execution.
Support in invoicing and payment processing, and resolving customer service issues.
General Administrative Support:
Organize and maintain office supplies & equipment. Ensure that all necessary materials are stocked and accessible; order to replenish as needed.
Oversee inventory of design materials, samples, and furniture catalogues; ensure sample and catalogs are comprehensive and up-to-date.
Ensure D|B showrooms are well organized and well-presented.
Provide general support in meetings, client calls, and presentations as needed.
Brand Ambassadorship:
Act as a brand ambassador for Design Bar, embodying the company’s values and commitment to excellence in every stakeholder interaction.
Demonstrate a keen eye for design and a passion for all things aesthetic, ensuring every touchpoint reflects the luxury brand’s high standards.
QUALIFICATIONS
Bachelor’s degree in Business, Interior Design, Architecture, or a related field (preferred).
Two+ years of experience in interior design assistance, administrative roles, or luxury services (preferably within the design industry).
Exceptional organizational and multitasking abilities with attention to detail.
Strong written and verbal communication skills.
Tech-savvy with proficiency in Google Suite and Microsoft Office. Familiarity with design software such as CAD, SketchUp and Adobe Creative Suite is a plus.
Ability to thrive in a fast-paced, deadline-driven environment while maintaining a high standard of work.
Discretion and professionalism when handling sensitive or confidential information.
A passion for design, luxury living, and exceptional client service.
Ability to work both independently and collaboratively within a team.
